ResumePa ("we," "our," or "us") is committed to protecting your personal information and providing a safe online experience. This Privacy Policy explains how we collect, use, disclose, and protect your data when you use ResumePa's AI-powered resume, cover letter, and interview simulation services. By using our service, you agree to the data practices described in this Policy.
Children's Privacy: Our services are not intended for children under the age of 13, and we do not knowingly collect or solicit personal information from anyone under 13 years old. If you are under 13, please do not use ResumePa or send us any personal data. In the event we learn that we have collected personal information from a child under 13 without parental consent, we will delete that information as quickly as possible. If you believe we might have any information from or about a child under 13, please contact us immediately.
2. Information We Collect
We collect various types of information to provide and improve our services. This includes information that you provide directly and data collected automatically:
Personal Information You Provide: When you create an account or use ResumePa, you may provide personal details such as your name, email address, contact information, and account login credentials. You will also input content like your resume details (work history, education, skills, etc.), cover letters, and answers to interview questions. These materials may contain personal information you choose to include, such as your employment history, qualifications, or other details. We collect this information directly from you to fulfill the core functionality of our service. For example, during account registration or resume creation, you may be asked for identifying details (name, email) and any content you submit in your resume or cover letter is stored as part of providing the service. If you make a purchase, we may also collect information necessary to process the payment (however, payment details like credit card numbers are handled by our payment processor, as described below).
Information from Third-Party Accounts: If you choose to sign up or log in via a third-party service (for example, using Google or LinkedIn authentication), we may receive basic profile information from that service (such as your name or email). We will use any such information in accordance with this Privacy Policy and the permissions you grant through that third-party login.
Usage Data and Analytics: Like many SaaS platforms, ResumePa automatically collects certain information about your device and how you interact with our site. This Usage Data may include your IP address, browser type, device information, pages viewed, the dates/times of access, and referring website addresses. We collect this data through cookies and similar technologies (described below) to understand how our users navigate the site, to maintain secure sessions, and to improve our services. For instance, we may log when you last accessed your account or what features you used, in order to optimize our user experience and ensure the platform functions properly.
Cookies and Tracking Information: When you visit or use ResumePa, we use cookies and similar tracking technologies to remember your preferences and track your use of our services. Some cookies are essential for logging in and keeping your session active, while others help us understand user activity. We also use cookies for our affiliate program (see Section 4 below) and analytics (see Section 5). More details on cookies are provided in Cookies and Tracking Technologies below.
We strive to be transparent and specific about all categories of personal data we collect, whether you provide it directly or it is collected automatically. If we ever need to collect information beyond what is listed here, we will inform you and, if required, obtain your consent.
3. How We Use Your Information
We use the collected information for various purposes in order to operate and improve ResumePa's services in a lawful and transparent way. These purposes include:
Providing and Improving the Service: Your information (including resumes, cover letters, and interview responses) is used to generate the AI-driven outputs you request and to personalize your experience. For example, we use the content you input to create tailored resumes or simulate interview questions. We also analyze usage patterns and feedback to refine our AI models and add new features, helping to improve our platform over time.
Account Maintenance and Customer Support: We use your contact and account information to create and maintain your user account, authenticate you when you log in, and provide customer support. If you reach out to us with a question or problem, we will use your information to respond and resolve issues. This may include referencing your resume drafts or account settings to better assist you.
Communications: We may send service-related communications such as confirmations of account creation, notifications about important changes or updates to our platform, and responses to your inquiries. These are transactional or administrative messages needed to operate the service (e.g. password resets, important account or security notifications). Such communications are not promotional in nature.
Analytics and Performance: We use Usage Data (described above) and analytics tools (like Google Analytics) to understand how our users interact with ResumePa. This helps us troubleshoot technical issues, monitor the performance of our site, and gather aggregate statistics about our user base. Analyzing this data allows us to make informed decisions on improving navigation, content, and overall user experience.
Marketing (With Consent): If you have opted in to receive marketing communications, we will use your email address to send you newsletters, product updates, special offers, or other promotional content that may be of interest. We only send these emails with your explicit consent (see Section 9 on Marketing Communications). You can opt out at any time, and we will not spam you. We do not use sensitive personal details from your resumes or cover letters for marketing purposes.
Payments and Transactions: When you make a purchase or subscription payment, we use the information provided to process that transaction. Payments are handled via our third-party payment processor (Stripe), so while Stripe will receive your payment card details, we only retain minimal information about the transaction (such as your name, billing contact, and confirmation that payment was completed). This is solely to manage your paid subscription or purchase.
Legal Compliance and Protection: In rare cases, we may need to use or disclose information to comply with legal obligations or to protect our rights, enforce our Terms of Service, or investigate fraud. For example, we might retain log information to comply with regulations or use data to investigate unauthorized access to our system. We will only use your data in this manner if necessary and permitted by law.
We ensure that any use of your personal information is compatible with the purposes for which it was originally collected, and we will not use your data in new ways without informing you. Being clear about why we need your data (whether it's to fulfill your requests, improve our service, or meet legal requirements) is an important part of our commitment to transparency.
4. Cookies and Tracking Technologies
Cookies are small text files stored on your device when you visit a website. ResumePa uses cookies and similar tracking technologies to enhance your experience and to enable certain functions of our service. We want to explain how we use these tools:
Essential Cookies: Some cookies are necessary for our site to function. For example, when you log into your account, we use cookies to keep you logged in as you navigate between pages. These cookies ensure that the site remembers who you are – without them, you would have to log in again every time you click a new link.
Analytics Cookies: We use analytics tools (like Google Analytics) that set cookies in your browser to collect information about how you use our website. These cookies gather data on things like which pages you visit, how long you stay, and what links you click. This information is aggregated and helps us understand user behavior and site performance. For instance, Google Analytics may store a cookie to track that a user visited our homepage and then went to the resume builder page. This usage data is valuable for improving our platform and fixing user experience issues. (Please note that data collected by Google Analytics may be transmitted to and stored on Google's servers; however, we have configured our analytics to anonymize IP addresses where possible, in line with privacy best practices.)
Affiliate Tracking Cookies: If you were referred to ResumePa through an affiliate link or partner promotion, we use a cookie to track that referral. Our affiliate program (powered by Rewardful) sets a first-party cookie on your browser when you arrive via an affiliate link. This cookie contains information that tells us which affiliate partner referred you. We do this so that if you sign up and later upgrade to a paid plan, we can correctly attribute the commission to that affiliate. The affiliate tracking cookie does not contain your personal details; it only holds an identifier so we can match your signup with the referring partner. For example, Rewardful's tracking script will place a cookie with a referral ID when you click an affiliate link, ensuring that if you return to our site and subscribe, the affiliate gets credit. These cookies are important for running our referral program, but they do not track your activity beyond what's needed for attribution.
Functionality Cookies: We may use cookies to remember preferences and settings. For example, a cookie might remember your preferred language or that you have already completed a tutorial, so we don't show it to you again. These cookies improve your experience but are not strictly necessary.
Your Choices: Upon your first visit to ResumePa (and periodically thereafter), we may present a cookie notice or banner. By using our site after seeing that notice, you consent to our use of cookies as described. You can control and delete cookies through your browser settings. Most browsers allow you to refuse new cookies or delete existing ones. However, please be aware that if you disable cookies, some features of our service (like staying logged in or affiliate referral tracking) may not work properly.
We believe in being open about our use of cookies and similar technologies. While cookies help us provide a smooth and personalized experience, we understand that not everyone is comfortable with tracking. Our aim is to use these technologies responsibly, in line with applicable privacy laws, and to avoid any unnecessary intrusions on your privacy.
5. How We Share Your Information
We do not sell or rent your personal information to third parties for their own marketing purposes. However, we do share certain data with trusted third-party service providers and partners in order to operate ResumePa and fulfill the services you expect. In all cases, we disclose only the information that is necessary for these providers to perform their functions, and we contractually require them to protect your data and use it only for our specified purposes. The key third parties with whom we may share your information are:
Firebase (Google Cloud): ResumePa uses Google Firebase as part of our application infrastructure. Firebase provides our database, authentication, and hosting services. This means personal data you provide (like your account details and the content you create) may be stored in Firebase's cloud databases. Google, as our processor, may technically have access to this data for support or maintenance, but it is secured and governed by Firebase's stringent security measures. We rely on Firebase to securely store user information and to authenticate users when they log in. Google's role is as a service provider to us, and they are not permitted to use your data for any purpose other than providing services to ResumePa. (You can refer to Google's Privacy Policy for more details on their handling of data.)
Google Analytics: As noted in the Cookies section, we use Google Analytics to collect Usage Data about how our site is used. Google Analytics may process information like your IP address, device identifiers, and on-site behavior on our behalf. This information helps us analyze site traffic and usage patterns. In using Google Analytics, we do not receive personally identifying information such as your name or email – only aggregated statistical data. Google may store this analytics data on servers outside of your country (often in the United States), but we have enabled settings to comply with privacy requirements (for example, IP anonymization). Google acts as our data analytics provider, and per Google Analytics' terms, we are required to disclose this use in our Privacy Policy. If you wish, Google provides an opt-out mechanism for Analytics (such as a browser add-on) which you can use to prevent your data from being used by Google Analytics on any site.
Stripe: We use Stripe as our payment processor to handle subscription fees or other payments. When you make a payment, the information you provide at checkout (such as your credit card number, billing address, and other payment details) is transmitted directly to Stripe via a secure connection. ResumePa does not store your full credit card information on our own servers. Stripe processes your payment and returns to us a confirmation and some limited data (e.g., the last four digits of your card, card type, and an indicator that the payment was successful or failed). We share your name, email, and potentially your billing address with Stripe as needed to process the transaction and for receipt issuance. Stripe is a PCI-DSS compliant company which means it adheres to high security standards for payment data. Stripe is authorized to use your information only for purposes related to processing payments and complying with legal obligations (such as anti-fraud measures). Please review Stripe's Privacy Policy for details on how they safeguard transaction data.
Rewardful (Affiliate Program): As mentioned, we run an affiliate referral program using a service called Rewardful. If you sign up through an affiliate, Rewardful will have access to certain information to track referrals. This typically includes a unique referral identifier and your account or subscription status (to know if the referral led to a paid customer). We share data like your email or user ID and subscription status with Rewardful only to the extent needed to administer the affiliate program (for example, to calculate commissions for affiliates). Rewardful's system uses first-party cookies on our site to keep this referral association. Rewardful does not get your resume content or other unrelated personal data – just the info required to track the referral and payout our affiliate partners. They are obligated to protect any personal data consistent with privacy laws and not use it beyond providing the affiliate tracking service.
Email Service Providers: If we send emails (for example, marketing newsletters or important account notifications), we may use an email service platform to manage those communications. That provider would handle your email address and name to send out messages on our behalf. They are not allowed to use your email for their own purposes, and they employ safeguards to keep your contact information secure.
Other Service Providers: We may use additional third parties for various support services (for instance, an error tracking service to diagnose software issues, or a customer support ticketing system). When we do, we ensure that any personal data shared (if any) is limited and protected. Each of these providers is vetted for strong security and privacy practices. They act under our instructions and do not have rights to use your data independently.
We may also disclose information in a few special scenarios: (1) Legal Compliance and Protection: If required by law, regulation, or legal process (such as a court order or subpoena), we may disclose certain data. We may also disclose information if we believe in good faith that it's necessary to enforce our Terms of Service, investigate or protect against fraudulent or illegal activities, or protect the safety, rights, or property of our users or the public. (2) Business Transfers: If ResumePa is involved in a merger, acquisition, bankruptcy, or sale of all or a portion of its assets, user information could be transferred to the successor or acquiring entity. If such a transfer occurs, we will ensure the new owner is bound to respect the protections in this Privacy Policy and we will notify you (for example, via email or a prominent notice on our site) of any change in data handling. (3) With Your Consent: If we ever need to share your information for any other purpose not covered by this Policy, we will ask for your consent. You will have the choice to let us share it or not.
International Data Transfers: ResumePa is committed to handling your data in compliance with applicable data protection laws. All data processing activities are conducted within our primary operating region, and we do not transfer your personal data internationally to unrelated jurisdictions. In practical terms, this means that your data is stored and processed on servers located in the same country or region where our company operates (for example, within the United States or the European Union, depending on our infrastructure), and we do not send your personal information to countries that lack adequate data protection. If in the future we need to transfer data across borders (for example, to use a new service provider based in another country), we will do so in accordance with the law – for instance, by using EU Standard Contractual Clauses or ensuring the receiving party is certified under an approved framework – and we will update this Privacy Policy to inform you of such changes. At present, however, there are no international data transfers of your personal data by ResumePa.
6. Data Retention and Deletion
We retain your personal data only for as long as necessary to fulfill the purposes for which it was collected, as outlined in this Privacy Policy, and to comply with applicable laws. This means:
Active Account Data: If you have an account with ResumePa, we will keep the information you have provided (such as your profile details, resumes, cover letters, and interview simulations) for as long as your account is active. This allows you to return to your account and find your stored resumes or past activity.
Service Provision: We retain personal data while we are providing our services to you – for example, your data remains in our systems for the duration that you continue to use our platform or maintain an active subscription. It may be necessary to keep your information to fulfill our contractual obligations to you (for instance, so you can access your previously generated cover letters or so that we can provide customer support).
Retention for Legitimate Interests and Legal Compliance: Even if you deactivate your account or request deletion, we may retain certain minimal information for legitimate business or legal purposes. For example, we might keep transaction records (invoices, payment history) to comply with financial reporting requirements, or retain logs and records in order to detect fraud, resolve disputes, or enforce our agreements. We follow the principle that data should not be kept longer than necessary. In practice, for any data we must retain, we will either securely archive it and restrict any routine access to it, or anonymize it if feasible. Usage data that is collected for analytics is generally kept for a shorter period (and often in aggregate form) unless we need it to strengthen the security or functionality of our service.
Deletion Upon Request: You have the right to request deletion of your personal data at any time. If you no longer wish to use ResumePa, you may contact us at our support email to request that your account be deleted. Upon such a request (or if you otherwise explicitly delete content through the user interface), we will remove or anonymize your personal information from our active databases. Please note that it may take a short period to fully remove data from all systems (for example, from backups). However, we will process your deletion request without undue delay and, in any event, within the timeframe required by law (typically within 30 days for GDPR compliance). Once your data is deleted, you will no longer be able to recover that information.
Account Inactivity: If you have not logged into your account for an extended period, we may reach out to you to ask if you want to maintain it. If required or appropriate, we may delete or anonymize accounts that have been inactive for a very long time (we would provide notice before taking such action). This is to minimize the amount of data we store unnecessarily.
After we have deleted your data (whether because you requested it or due to our retention policy), we may keep non-identifiable data. For instance, we might retain aggregate statistics that do not identify you personally (like the total number of users in a given year, or general usage trends). We may also keep backup copies of data for a certain period as part of routine archiving (these are protected and eventually purged according to a schedule). If data remains in backups, we will ensure it's not easily accessible and is deleted or overwritten in the normal course of our backup cycles.
In summary, we only keep your personal information for as long as necessary to serve you and to meet our legal and business obligations. When it's no longer needed, we take steps to erase it or anonymize it. You also have the ability to request deletion at any time, as described above, and we will honor such requests in line with applicable laws.
7. Your Rights (Including GDPR Compliance)
We respect your rights to control your personal data. Depending on your jurisdiction (and particularly if you are in the European Union, United Kingdom, or other regions with data protection laws), you have certain rights regarding the personal information we hold about you. We are committed to facilitating the exercise of these rights. These rights include:
The Right to Be Informed: You have the right to be informed about how your data is collected and used. This Privacy Policy is part of fulfilling that right by transparently explaining our data practices. If you have any questions about our use of your data, you can contact us and we will provide further information.
The Right of Access: You have the right to access the personal data we hold about you. This means you can request a copy of the information we have on file for you. We will provide you with a summary of that data, typically free of charge, within the time frame required by law (for example, under GDPR, within one month). This allows you to verify the information and check that we are processing it in accordance with the law.
The Right to Rectification: If any of your personal information is inaccurate or incomplete, you have the right to request that we correct or update it. For instance, if you change your email address, or if you notice that we have an incorrect name spelling, you can ask us to fix it. In many cases, you can directly make changes by logging into your account (for example, editing your profile or resume content). For any data you cannot update yourself, you can contact us and we will make the correction.
The Right to Erasure (Right to Be Forgotten): You have the right to request that we delete your personal data. As noted in the Data Retention section, you can ask us to remove your information from our systems. We will comply, provided we do not have a lawful reason to continue processing the data (for example, certain records that we must keep for legal compliance may be exempt). If we must retain any information (like proof of a transaction for accounting), we will inform you. Otherwise, we will erase your data and confirm once completed. This right is not absolute, but we honor it to the fullest extent possible.
The Right to Restrict Processing: You have the right to ask us to restrict or pause the processing of your data in certain circumstances. For example, if you contest the accuracy of the information or object to our processing, you can request a restriction while the issue is resolved. During restriction, we will store your data securely and not use it (except to the extent allowed by you or required by law) until the restriction is lifted.
The Right to Data Portability: You have the right to obtain your personal data in a commonly used, machine-readable format, and to have that data transmitted to another controller where feasible. In practice, this means you can request an export of the key personal information you have provided to us (for example, your account details and content you've input). We can provide this in a structured format (such as JSON or CSV file). This enables you to reuse your data across different services. (Note: This right applies to data you have provided to us, and when processing is based on consent or contract and carried out by automated means, as per GDPR).
The Right to Object: You have the right to object to our processing of your personal data in certain scenarios. Notably, you can object to processing that is based on our legitimate interests or for direct marketing. If you object to direct marketing, we will stop sending you marketing communications (this is an absolute right, which we fully respect – see Marketing Communications section). If you object to processing based on legitimate interests, we will evaluate your request and unless we have a compelling overriding reason to continue (or if it's needed for legal claims), we will cease the processing in question.
Rights Related to Automated Decision Making: ResumePa does not make any decisions about you that have legal or similarly significant effects solely by automated means. The AI-generated content (resumes, etc.) we provide is based on the information you give and is under your control to use or edit – it's not making determinations about you in the sense of profiling. However, for completeness, if in the future we were to implement automated profiling or decision systems, you would have rights to not be subject to a purely automated decision that significantly affects you, and to request human intervention or to challenge the decision.
The Right to Withdraw Consent: In cases where we rely on your consent to process your data (for example, for sending marketing emails), you have the right to withdraw that consent at any time. Withdrawing consent will not affect the lawfulness of any processing we conducted based on consent before its withdrawal. If you withdraw consent, we will stop the processing that was based on consent. For instance, if you consented to receive newsletters, you can unsubscribe at any time (which is a form of withdrawing consent), and we will stop sending them.
The Right to Complain: If you have concerns about our data practices, you have the right to lodge a complaint with a supervisory authority. If you are in the EU/EEA, this would typically be your country's Data Protection Authority. If in the UK, it would be the Information Commissioner's Office (ICO). If in Canada, the Office of the Privacy Commissioner, etc. We would appreciate the chance to address your concerns directly first, but you always have the right to seek assistance or file a complaint with the relevant authority about our handling of your personal data.
To exercise any of these rights, please contact us using the information provided in the Contact section below. For security, we may need to verify your identity before fulfilling certain requests (to ensure that we don't release or delete the wrong person's data). We will respond to your requests as soon as possible, and in any event within the timeframes required by law (under GDPR, generally within one month). There is no fee for making a request unless it is manifestly unfounded or excessive, in which case (permitted by law) we may charge a reasonable fee or refuse the request with an explanation.
We are dedicated to honoring your rights and have procedures in place to ensure we can meet our obligations under laws like the GDPR. If you have any questions about your rights or how to exercise them, please let us know. Protecting your privacy and giving you control over your information is one of our top priorities.
8. Security Measures
We take the security of your personal data very seriously. ResumePa implements industry-standard security measures to protect your information from unauthorized access, alteration, disclosure, or destruction. Some of the key technical and organizational measures we employ include:
Encryption: We use encryption to protect data in transit and at rest. This means that any personal information you send to us through the website (for example, when entering your login credentials or submitting your resume content) is encrypted using HTTPS/TLS, so it cannot be easily intercepted by third parties. Additionally, any sensitive data stored in our databases is encrypted or hashed where appropriate. For example, passwords are stored in a hashed form (not in plain text) and other sensitive fields may be encrypted on our servers.
Secure Hosting: Our servers are hosted in secure facilities with measures like firewalls, intrusion detection systems, and access controls. We rely on reputable cloud service providers (such as Google Cloud/Firebase) that maintain high standards of physical and network security. These data centers have 24/7 security monitoring and employ robust safeguards to prevent unauthorized access to the underlying infrastructure.
Access Controls: We limit access to personal data to those employees, contractors, and service providers who need to know that information in order to process it for us (on a "least privilege" principle). For instance, our development and support team members can only access user data if required for their job (such as helping a user resolve an issue), and even then, they may have only partial access depending on the need. All personnel with access to personal data are bound by strict confidentiality obligations. We also use authentication measures (such as multi-factor authentication) for our internal systems to add an extra layer of security for administrative access.
Monitoring and Testing: We regularly monitor our systems for possible vulnerabilities and attacks. We keep our software and infrastructure up-to-date with security patches. Additionally, we may conduct periodic security audits, penetration testing, or code reviews to identify and fix potential weaknesses. Our application is designed with security in mind, and we strive to follow secure coding practices to prevent common threats like SQL injection, cross-site scripting (XSS), and cross-site request forgery (CSRF).
Backup and Recovery: We perform routine backups of critical data to ensure it can be restored in case of accidental loss or technical issues. These backups are encrypted and stored securely. In the event of any system failure, we have disaster recovery plans to restore functionality and data integrity as quickly as possible.
Organizational Measures: We train our staff on privacy and security best practices. We have internal policies in place to handle data securely and to respond effectively in the event of a security incident. Access to personal data is logged and tracked. We also have procedures for reporting and managing any suspected data breaches.
It's important to note that while we do our best to protect your information, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security of data. However, we continually evaluate and update our security measures to respond to new threats and to ensure a high level of protection. In the unlikely event of a data breach that poses a risk to your rights and freedoms, we will notify you and the appropriate authorities as required by law.
You also play a role in keeping your data secure. We encourage you to use a strong, unique password for your ResumePa account and to keep it confidential. Please notify us immediately if you suspect any unauthorized access to your account or any security vulnerabilities. We will take appropriate steps to assist you, including helping you reset passwords or disabling accounts if necessary.
By using ResumePa, you acknowledge that you understand the inherent risks of data transmission over the internet, but also that we are taking appropriate and reasonable measures to safeguard your information. We are committed to maintaining these measures and to updating them in line with evolving security standards.
9. Marketing Communications
We value your privacy when it comes to marketing and we strive to only engage with you in ways that you find helpful and respectful. As such, we adhere to permission-based marketing practices:
Opt-In Consent: We will only send you marketing or promotional emails if you have explicitly opted in to receive them. This might occur when you sign up (for example, if you tick a box indicating you want to subscribe to our newsletter or job-seeking tips), or by subscribing via our website's signup forms. The GDPR and other privacy laws require an affirmative opt-in for marketing communications, and we fully comply with that standard. If you do not opt in, you will not receive marketing emails from us – simple as that.
Types of Communications: With your consent, we may send occasional emails such as newsletters with job hunting advice, updates about new ResumePa features, special promotions or discounts, or other content related to career development and our services. We aim to provide value in these communications, and will not overload your inbox. Typically, you might receive an email newsletter or announcement at a reasonable interval (e.g., a few times a month). Every marketing email we send will clearly indicate that it is from ResumePa and will contain subject matter relevant to job seeking, resumes, or our product offerings.
Right to Unsubscribe: Every marketing email from us will include an "Unsubscribe" link or instructions that you can use to opt out of future emails. We make it easy for you to withdraw your consent and stop receiving marketing content. If you decide you no longer want to hear from us, simply click the unsubscribe link at the bottom of the email, or reply with a request to be removed, and we will promptly remove you from our marketing list. You can also contact us directly at any time to request removal from marketing communications. Once you opt out, we will stop sending you promotional emails. (Please note you may still receive transactional or account-related messages as noted earlier, which are not marketing but necessary for service.)
No Third-Party Marketing: We do not share your personal contact information (such as email address) with third-party companies for their own marketing purposes without your consent. We also do not sell your information to mailing lists. Any marketing you receive will come directly from ResumePa.
